Job Description

Viking Electric Supply in Minneapolis is hiring a Sales Administrator.

The objective of the Sales Administrator is to provide administrative services to our local sales team to support customer and business needs.  Other job duties and responsibilities include:

  • Based on direction of sales team, issue customer credits for billing adjustments and credit and re-bill scenarios, for the Twin Cities sales team and other markets when needed.
  • Work with sales team, Direct Billing department and Project Team, to correct and/or edit Eclipse Sales Orders.       (Clean up Sales Orders before they go to BillTrust or issue credit/rebills after they go to BillTrust).
  • Work with Shared Services to clean up vendor credits including, but not limited to labor charge backs and freight charges.
  • Work with Credit Department to correct customer statements and/or invoices.
  • Request/follow up with vendors to ensure Viking receives credit for material returned.
  • Work with Returns Department to ensure product is sent back correctly to manufacturer after RGA is received by Viking.
  • Be a company-wide resource for other Admins in the organization. Back up other Admins as needed.
  • Provide back up support for standard Eclipse direct billings when needed.
  • Manage and coordinate all lunch and learns, vendor visits and room scheduling in your location.
  • Work with Sales Managers to prepare weekly/monthly sales reports and presentations.
  • Work with sales teams to manage and maintain customer master files and mailing list information.
  • Support the management of sales promotional items, sample accounts, and marketing development funds.

Required Skills
  • Strong math aptitude, detail oriented, professional manner, self-motivated and well-developed organizational skills.
  • Proficiency with PC, data entry, Microsoft Office (Word, Excel) required.
  • Administrative and organizational abilities; creative, detail oriented and self-motivated and well-developed interpersonal communication skills. 
  • Must be flexible, able to handle multiple tasks, set priorities, and maintain a positive attitude under fast- paced conditions.
Required Experience

Minimum two years office experience

one-two years post secondary education preferred, or equivalent experience.
